Bands differ by active member count, and by nothing else. Monthly billing, no 12-month contract, migration done for you, free.
An active member is someone who is paying you for a membership right now, or who has been in during the last 90 days: booked or attended a class, had an appointment, bought a pass or pack, or bought credit. Everyone else stays on your list for free and never counts.
You never pick a band or ask to change one. We measure, we tell you, it changes on your next invoice.

The migration promise
The team migrates your members, class schedule and membership plans into StudioFlow at no charge, set up in a parallel account you can poke at before you switch anything over. Consent records are handled properly under GDPR, so your email list arrives usable.
And no hostage clauses on the way out: monthly billing, and you can export everything, free, whenever you like, including the day you leave. We'd rather keep you with the product than with a contract.
The difference, side by side

Do I really get the first 30 days free?
Yes. Every new studio gets its first 30 days free. You add your card at sign-up, nothing is charged until those 30 days are up, and monthly billing starts after that. That window is also uncapped, and it is what we work your first band out from. Cancel any time before then and you pay nothing.
How is my price worked out?
By counting. A few days before each monthly bill we count your active members, put you on the band that count falls into, and email you the number, the date we counted it and what the next bill will be. It moves down as readily as up, so a quiet season costs you less without you having to ask, and you can see the exact list of members behind the number inside your account.
Is it really every feature on every band?
Yes. The bands differ by active member count and nothing else. The €79 studio gets the retention queue, the member portal, all 27 reports and the email journeys. Everything. All prices are ex VAT. We would rather win on the product than on the packaging.
What does migration actually involve?
You give us an export from your current system (or a spreadsheet). We load your members, class schedule and membership plans into a StudioFlow account you can review before anything goes live. You point your members at the new portal when you are ready. It costs nothing.
Is the retention queue AI?
The signals are rules, not a black box. Every card shows exactly why it exists (for example, 3 no-shows in 60 days). Drafting uses AI to write the first version of the email, but nothing ever sends without a human approving it, and nothing is ever sent to a member who has not consented to marketing contact.
How do payments work?
Through your own Stripe account, with no margin added by us. Stripe charges you its published rates on each card payment (1.5% + €0.25 per payment on standard EEA cards as of 10 September 2026, plus 23% VAT on the fee). StudioFlow handles subscriptions, proration, downgrades, gift cards, account credit and VAT receipts on top.
What about GDPR?
Consent is recorded per member and enforced on every send. Marketing only ever goes to people who opted in, and every email carries one-click unsubscribe. Members can be exported or erased on request. Studio data is isolated at the database level with row security.
Do I need the hardware kit?
No. StudioFlow runs in any browser, and members check in by QR code from any device. The kits are for studios that want a dedicated front-desk tablet and card reader without sourcing and configuring it themselves.
Can I get my data out?
Yes, any time, free, in a machine-readable file: one zip with your members, bookings, payments, plans and more. If you ever close your account you get 30 days to download everything before we delete it, and we email you the exact dates.
What happens to my data if I cancel?
You get 30 days to download everything, and nothing is deleted before then. Resume before the window closes and the closure cancels itself. After the window we delete your studio's data from our live systems, and it clears our backups within a further 30 days as they rotate.
How long do you keep anything after that?
Nothing about your members. The only thing we keep is our own billing record of your studio, for the six years Irish tax law requires. Your members' payment history is yours to keep under your own tax rules, so download it before the window closes.
