Who we are. studioflow.ie is operated by OHTOOWON LIMITED (trading as StudioFlow), an Irish company, and OHTOOWON LIMITED, trading as StudioFlow is the data controller for this website. Contact us any time: info@studioflow.ie.

What this page covers. This page covers three things: the studioflow.ie website, the StudioFlow member app and member portal, and what we do with the data your studio puts into the product. Your studio decides what happens to its own members' records. We handle those on your studio's instructions, under the agreement it accepts at signup and our Data Processing Addendum.

On this website

What we collect here. This site sets no tracking cookies. We use Vercel Web Analytics, which is cookieless and doesn't identify you. It tells us page views and referrers in aggregate, nothing about you personally. If you use the enquiry form, we keep your name, email and message and use them to reply. We won't add you to a marketing list without asking you first.

In the StudioFlow app

Who controls what. Your studio is the controller of its membership records: your bookings, attendance, payments and the messages it sends you. We handle those on your studio's instructions, and your studio decides how long to keep them. We are the controller of the StudioFlow sign-in account you create with us, and of the crash and technical reports the app sends us so we can keep it working.

What the app collects. Your name and email address, and the account identifiers that connect your sign-in to your studio's member record. Your booking and attendance activity, and the loyalty progress that comes from it. Payments you make in the app, recorded against your membership. Your device's notification token, if you turn push notifications on. Crash reports and basic technical information about the app, such as the app version and your device type and operating system.

Why we collect it. To run your bookings and membership, to keep you signed in, to send you the booking and loyalty notifications you have turned on, and to keep the app reliable and secure.

Payments. Payments you make in the app are processed by Stripe, and where your studio has connected its own Stripe account they go straight to it under your studio's agreement with Stripe. Your card details are handled by Stripe and never reach us.

Notifications. If you turn on push notifications, we store a notification token for your device so we can send you booking and loyalty messages. Delivery goes through Expo and then Apple's or Google's notification service, which is how a notification reaches your phone at all. Alongside the message we send a small routing payload so that tapping it opens the right screen. You can turn notifications off at any time in your phone's settings, which stops them being delivered, and we remove the stored token when you delete your account.

Crash reports. We use Sentry, hosted in the EU, to find and fix crashes. We set it up so crash reports do not carry your name, email address or phone number.

No advertising. There is no advertising in the app. We do not use an advertising identifier, we do not track you across other apps or websites, and there are no analytics or ad networks in the app. We do not sell your data, and we do not give it to anyone to use for their own purposes.

Who helps us run it. We use a small number of providers to run StudioFlow, each under a written contract that holds them to the same protections. Your studio's database is hosted in the EEA (AWS Ireland) by Supabase. The app and the website run on Vercel. Sign-in is handled by Clerk. Crash reports go to Sentry. Push notifications go through Expo and then Apple and Google. Your studio's own settings decide whether we also send you email or SMS. The full list, with the transfer safeguard for each, is in our Data Processing Addendum.

Deleting your account. You can delete your account in the app under Profile, then Settings, then Account, then Delete account. That deletes your sign-in account and removes your access to the app. Your studio stays the controller of its own membership records and keeps those under its own obligations, such as tax and accounting retention. How long we keep it. Your sign-in account lasts until you delete it. Your notification token is deleted when you delete your account. Crash and technical reports are kept only as long as we need them to find and fix problems. Your studio decides how long it keeps its own membership records.

Your rights

Your rights. Under GDPR you can ask what we hold about you, have it corrected or deleted, or object to how we use it. Email info@studioflow.ieand we'll deal with it promptly. Where the data belongs to your studio rather than to us, such as your bookings, attendance and payments, ask your studio directly. If you ask us instead, we will pass your request on to them and help them answer it.

Complaints. If you're unhappy with how your data has been handled, you can complain to the Data Protection Commission (dataprotection.ie).

Changes. If this policy changes, the new version appears here with a new date.
