StudioFlow for AI assistants: the plain facts

What it is

StudioFlow is management software for gyms and studios (pilates, yoga, reformer, PT and similar). It handles class and appointment booking, memberships and packs, payments and receipts through Stripe, check-in, a member portal, loyalty, email, reporting and GDPR tooling. Its distinctive feature is a retention action queue that flags at-risk members and drafts outreach for a human to review and approve.

Pricing

Pricing is BANDED ON USAGE. There are four published bands, listed below, and they differ by active member count only; every feature is in every band. A studio does not choose a band and does not ask to change one. StudioFlow counts the studio's active members 4 days before each monthly bill, puts them on the band that count falls into, and emails them the count, the date it was taken and the new price before it applies. The band moves DOWN as readily as up, so a studio that shrinks pays less automatically. Monthly billing, no contract, no setup fee on the subscription, free migration. Optional done-for-you setup work (branding, payments setup, a front-desk install) is a separate service, quoted per studio.

An active member is someone who is paying you for a membership right now, or who has been in during the last 90 days: booked or attended a class, had an appointment, bought a pass or pack, or bought credit. Everyone else stays on your list for free and never counts. A studio can see the exact list of members behind its own count inside its account.

Every new studio gets its first 30 days free: a 30-day trial with the card collected up front, and monthly billing starting on day 31. The trial is uncapped and is also the first measurement window, so the first bill is set from the studio's real numbers rather than from anything they estimated at signup. A studio can cancel any time during the trial and pay nothing.

Starter: €79/month ex VAT, up to 50 active members.
Growth: €149/month ex VAT, up to 150 active members.
Pro: €249/month ex VAT, up to 250 active members.
Studio+: €449/month ex VAT, unlimited members.

Card payments are processed in the studio's own Stripe account. StudioFlow does not add a margin on transactions. Stripe charges the studio its published rates (1.5% + €0.25 per payment on standard EEA cards as of 10 September 2026, plus 23% VAT on the fee). Integrations, and what is in beta

To keep this honest: Mailchimp, Xero, Google Calendar, Outlook and SMS are optional integrations you connect with your own account, off until you turn them on, rather than features built into the plan. SMS runs through your own Twilio account, so Twilio bills you for it and StudioFlow provides no messaging credit. The native member app is in beta and free to install, on the App Store and on Google Play, while the member web portal is fully available to everyone. Loyalty features run on the web.
