Terms versioning, re-accept and cancellation policy
Your membership terms are the agreement members sign up to. We keep a dated, frozen copy of exactly what each member agreed to, so you can always show which terms were in force at the time. Here is how to set them, publish an update, and set your cancellation policy.
- Open terms settings. In Settings, open Membership Terms and Conditions. This is your membership agreement, separate from any health waivers or intake forms.
- Write and save your terms. Type or paste the agreement in the text box and save. Saving the text stores it as a version and keeps a dated copy of that exact wording.
- New members accept at join. When someone signs up, they accept the current version as part of joining. If you leave the terms blank, the sign-up acceptance step is turned off.
- Publish an update. When your terms change, edit the text and save again. This saves a new version without touching what earlier members already agreed to.
- Members re-accept. After you publish, the next time a member on an older version opens their account, we ask them to re-accept the current terms before they carry on.
- See who is current. Each acceptance is recorded against the member with the version they agreed to, so you can tell who has signed the latest terms.
- Set your cancellation policy. In Settings, open Cancellation policy to set how late a member can cancel before it counts as a late cancel, plus the fee for a late cancel or a no-show. A cancel before the window keeps the usual refund.
- Track any fees owed. Fees are recorded as owed and shown in your money-owed report. Collecting them is a separate step, and no fee is ever charged on a cancel made before the window.
Good to know
- Terms versioning is separate from waivers and intake forms; changing one does not change the other.
- Amounts are in EUR, and any fees you collect run through your studio's own Stripe.
