1:1 appointments and the day sheet

One-to-one appointments cover sessions like PT and assessments, one trainer with one member. Here is how we set them up, let members book, and run the day from the front desk.

  1. Open Appointments. Sign in as an owner or manager and go to Appointments in the app. This is where we build the whole 1:1 setup and see the day at a glance.
  2. Create your appointment types. Add each kind of session, for example a 30 or 60 minute PT slot or an assessment. Give each one a name, a duration, a short description, and a price in EUR.
  3. Set trainer availability. For each trainer, set the weekly windows they are free to take appointments, so members only ever see real openings.
  4. Say who delivers what. Mark which trainers can deliver each type. When a member books that type, they only see the trainers who are eligible for it.
  5. Open bookings to the public. Choose which types can be booked from our public booking page. Members pick a type, a trainer, and an open slot, with taken slots greyed out automatically. Someone new joins as part of booking.
  6. Book someone in yourself. For phone or walk-in requests, book a member straight into an open slot from the Appointments workspace.
  7. Run the day from the day sheet. Use Print day sheet for a clean single-day list with the time, the member, the appointment type, the trainer, and the status. Change the date or step to another day, then print it for the desk.

Good to know

  • Confirmation and reminder emails go out automatically, so we do not have to chase people by hand.
  • The day sheet keeps cancelled slots on the list, so we can spot a freed opening at a glance.
  • Taking payment is handled separately for now, even though each type carries a price.
  • The day sheet is available to owners and managers.
