Build your class timetable, rooms and trainer availability

Your timetable is the heart of the studio. Set up your rooms once, then build classes one at a time or from recurring templates that roll forward week after week, and keep an eye on the whole week from the calendar.

  1. Set up rooms first. Go to Settings then Rooms and add every space we teach in, like the studio floor, the spin room or a treatment room. A room is a label we book against, so a second class or appointment cannot land in the same room at the same time.
  2. Add a one-off class. On the Classes page, use Add class to create a single class instance. Give it a title, an instructor, a room, a capacity, and a start and end time.
  3. Set the cancellation window. In Settings, set the cancellation window that decides how late a member can cancel without a fee. It applies across the studio, so late cancellations are handled the way we want.
  4. Build recurring templates. Open Templates from the Classes page to define a class and its weekly slots, each with a day and a start time. We roll every slot forward into bookable classes automatically, so you set the pattern once.
  5. Assign a trainer. Pick the instructor when you create the class or a template slot. That is who members and the team see teaching it, so cover is clear at a glance.
  6. Check the week. Open Calendar for a Day, Week or Month view of every class and one to one appointment together, so you can spot gaps, clashes and quiet slots.
  7. Archive what you no longer run. Archive a class you have stopped running to hide it from listings and member booking. Its bookings are kept and you can restore it later.

Good to know

  • Rooms do not have a seat count in this version. Capacity is set on each class itself.
  • Multi-session courses are set up separately from single classes.
  • Deactivate a room to remove it from the booking dropdowns without losing any of its history.
