Lifecycle emails: welcome, win-back and birthday

StudioFlow can send three emails in the background so we stay in touch without lifting a finger: a welcome for new members, a win-back for those drifting away, and a birthday note. We switch them on once, and the team runs them daily.

  1. Open Email settings. In the app, go to Settings then Email. All three lifecycle emails live on this one page.
  2. Check the master switch. Lifecycle emails only send while the studio's email switch is on. If it is off, the toggles below still save, but nothing goes out.
  3. Turn on Welcome. This goes to every new member shortly after they join. It is usually on by default, so a first impression is handled for us.
  4. Turn on Win-back. Off by default. When on, it emails members we have flagged as at risk who have opted in to marketing. There is a gap before anyone is contacted again, so no one gets nagged.
  5. Turn on Birthday. Off by default. When on, it sends a short birthday note on the day, once per year. It only reaches members whose date of birth is on file.
  6. Know who receives them. Win-back and birthday only go to active members with an email who have opted in to marketing. Every one carries an unsubscribe link, and we honour it automatically.
  7. Watch the queue. Lower on the page, the queue status shows how many emails are queued, sent, retrying or failed, plus when the last one went out, so we can confirm delivery is flowing.

Good to know

  • These are email only.
  • If a banner says email is not set up yet, the toggles still save, but delivery only starts once the email provider is configured.
  • Welcome is onboarding, so it is on by default. Win-back and birthday are marketing, so they need a member's marketing consent first.
