Work the daily action queue (review, edit, approve, log outcome)
The action queue watches every member for warning signs and hands us a ranked list of who is most worth reaching out to right now, each card with the reason and a pre-drafted email. We stay in control: nothing sends until we approve it.
- Open the queue. Go to the Action queue in the app. The members most worth contacting sit at the top, already ranked for us, so we work top down.
- Read the why. Each card shows why that member surfaced, such as a repeat no-show, going quiet, a pack running out, a missed waitlist, never contacted, an overdue follow-up, no first booking, or lapsed appointments.
- Review the draft. Open the pre-drafted email on the card. It is written for that member and their situation, so we are never starting from a blank page.
- Edit before sending. Tweak the subject and wording until it sounds like us. Nothing in the draft is fixed, and we can rewrite as much or as little as we like.
- Approve to send. When it reads right, approve it. Every message is a human decision, and we only email members who have opted in to marketing.
- Or log a different outcome. If a phone call, a chat at the desk, or no action needed fits better, log that outcome instead. Either way the card clears from the list.
- Come back tomorrow. The queue refreshes on its own, so there is no list to build. Working the top few cards each day keeps us ahead of members drifting away.
- Check the booked-back rate. Because we log every outcome, the report shows how many members booked back in after we reached out, so we can see what is working.
Good to know
- The pre-drafted email only appears when the studio has that assist switched on. The queue works fully without it, and we can still write the message ourselves.
- The action queue fills itself automatically. It is separate from Tasks, our hand-entered front-desk to-do list and call-backs.
